This policy explains how Leicester Barbering Academy (“we”, “us”) collects, uses and protects your personal information when you visit this website, message us, sign up for updates, book a course or buy from our shop. We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

Who we are: Leicester Barbering Academy Limited (company number 14678885, registered in England and Wales), 53-55 Belgrave Gate, Leicester LE1 3HR. We are the data controller for your information and are registered with the Information Commissioner’s Office (ICO), registration number ZB526329. What we collect

When you send us a message: your name, mobile number, email address, what your enquiry is about, your message and the page you sent it from.

When you sign up for updates: your email address, and when and where you signed up, so we have a record of your consent.

When you book a course or buy from the shop: your name, email, phone number, billing address, what you bought and the weekly group you chose. If you create an account, we also store your login (your password is encrypted and we cannot see it).

When you start your course: the details our awarding body, VTCT Skills, needs to register you for your certificate, and records of your progress.

When you message us on WhatsApp or call us: your number and what you tell us. WhatsApp is run by Meta and its own privacy policy also applies.

Payments: card, Klarna and PayPal payments, including PayPal Pay in 3, are handled securely by Stripe, Klarna and PayPal. We never see or store your full card details.

How and why we use it

We only use your information when the law allows it:

  • To reply to your enquiry and help you decide whether to book (our legitimate interests, and steps you ask us to take before a contract).
  • To run your booking or order: taking payment, your welcome call, running your course, registering your certificate and delivering shop orders (to perform our contract with you).
  • To keep accounting and tax records (a legal obligation).
  • To send you marketing, such as new course dates, offers and promotions, by email, text or WhatsApp. We only do this if you have ticked the box or signed up to say yes (your consent). If you have booked or bought from us, we may also tell you about similar courses and products, and you can opt out at any time.
  • To keep this website safe and block spam (our legitimate interests).

Stopping marketing messages

You can unsubscribe at any time, for free. Click “unsubscribe” in any email, reply STOP to a text or WhatsApp message, or contact us. We will stop straight away. Saying no to marketing never affects your booking.

Who we share it with

We never sell your data. We only share it with the services we need to run the academy, and only what they need:

  • our website host (Elementor) and its hosting and security partners
  • Stripe, Klarna and PayPal, to take payments (PayPal and Klarna may carry out checks if you choose to pay in instalments)
  • our email provider (Microsoft Outlook), and any mailing service we use to send updates, such as Mailchimp
  • VTCT Skills, to register you for your certificate
  • our accountant, and the authorities if the law requires it

Some of these providers may store data outside the UK. When they do, they use legal safeguards approved under UK law, such as adequacy regulations or the UK International Data Transfer Agreement.

How long we keep it

  • Enquiries: deleted automatically after 24 months if you don’t book.
  • Marketing list: until you unsubscribe.
  • Bookings, orders and payment records: six years after the end of the tax year, as the law requires.
  • Student and certificate records: for as long as VTCT requires us to keep them.

Cookies

This website only uses essential cookies: the ones that make the basket, checkout and account login work and keep the site secure. We do not use advertising or tracking cookies. If we ever add analytics or advertising cookies, we will ask for your permission first.

Keeping it safe

The whole website is encrypted (HTTPS). Access to enquiries and orders is limited to our team and protected by passwords. Card details never pass through our website.

Your rights

You have the right to:

  • see the personal data we hold about you
  • have it corrected if it is wrong
  • have it deleted
  • limit or object to how we use it, including a complete right to stop marketing
  • receive a copy of it to take elsewhere
  • withdraw your consent at any time

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
